Position Overview:

We are looking for a highly motivated Event Coordinator to join our dynamic team. The ideal candidate is an organized, disciplined, energetic and motivated individual to assist the Sales Team of Producers and Creative Team with daily event tasks in and outside the office. This role requires an understanding of hospitality services, exceptional relationship-building skills, and a passion for delivering unforgettable culinary experiences. Key Responsibilities:

  • Assist the Sales Team in executing event tasks, including: administrative event paperwork, rental orders, specialty event purchases, ROS details, etc.
  • Support the Creative Team in generating client decks and visuals. Assist with execution upon confirmation.
  • Support Sales and Creative Teams with event design components, including in-house supplies, floorplans, and event diagrams.
  • Track expenses related to office costs, event costs, and budget worksheets to ensure all expenditures are recorded accurately. Report expenses to the finance department promptly and help reconcile AMEX reports monthly.
  • Support the Sales Team and Creative Team in organizing pre-event and post-event requirements.
  • Source event goods, décor, and other supplies through e-commerce and local NYC vendors.
  • Attend events, tastings, client meetings and site visits as required.
  • Maintain a flexible schedule to accommodate early morning and late-night events, managing the schedule efficiently.
  • Participate in biweekly team Teams meetings and be available to the team throughout the week from 9:00 AM to 6:00 PM as needed.
  • Contribute to creative brainstorming sessions on food, beverage, design, and entertainment. Research new event trends, vendors, and activations.
  • Assist in updating client contacts and maintaining the CRM system for the company.
  • Reach out to vendors such as party rentals, venues, florists, AV, and entertainment companies.
  • Negotiate pricing with vendors effectively.
  • Multitask while working on multiple events/projects simultaneously.
  • Maintain a solution-oriented, can-do mindset.
  • Promote positivity throughout the office and at events while being a team player.
  • Establish relationships with vendors, venue managers, and potential clients within the industry. Update vendor spreadsheet regularly.
  • Show willingness to be trained in our operations and procedures, with opportunities for growth within the company.

  • Design disciplines, such as interior design, finishes, architecture, and staging.

Candidate should be proficient in:

  • Microsoft Office: Word, Excel, Outlook
  • Canva
  • TripleSeat (preferred)
  • Adobe Suite: Photoshop, InDesign (Optional)
  • Revit (Optional)
  • CAD (Optional)
